Resourcing group have an exciting opportunity to join the leading FM & Real Estate company. My client is looking for a Facilities Coordinator/Handyperson to join the team located in Frome, Somerset

Role Overview:
My client is looking for someone who can take on the role of Facilities Coordinator, as well as carrying out maintenance tasks across site.

Main Responsibilities

The successful candidate will need a can-do attitude and be responsible for being the face of the business for the day-to-day facilities operations of the site ensuring an exceptional customer service experience, whilst also being the point of contact for the site key stakeholders.

You will also provide preventative planned maintenance (PPM) and reactive tasks in an efficient and timely manner to ensure minimum disruption to building and to ensure all site QHSE rules and regulations are adhered to at all times at our client's sites.

Supervise, guide and direct preferred suppliers and monitor performance of their assigned responsibilities.

Ensure that work performed in these areas are accomplished efficiently and with minimal disruption and inconvenience to the smooth running of the site.

Role Responsibilities

  • Contractor management
    • Contractor site induction - gathering and checking contractor RAMS carrying out PM and 'project' work, archiving records.
    • Issue of ATW/PTW as required.
    • On site checks of contractors as per THE COMPANY procedures and dealing with any issues expediently
    • Liaising with site and contractors to schedule dates for attendance.
    • Checks on work carried out to ensure quality and completeness.
    • Collection and collation of all service records - to be stored centrally.
    • Ensure all THE COMPANY and JCI QHSE requirements are compliant
  • Liaison
    • Be the immediate point of contact for site, handling service requests, requests for additional works.
    • Successful candidate will be the sole THE COMPANY representative on site, with support from the COMPANY FM and wider THE COMPANY account team. Therefore, a high degree of self-sufficiency is required.
    • 100% dedicated to site, site based, able to support with continuous improvement of FM service. Also to support the wider account team which includes ither sites.
    • Available for JCI audits as required.
    • Hosting visits in connection with requested additional works and other THE COMPANY/JCI visitors as required in connection with FM activities.
    • Communication of PM/works activities to JCI site team.
    • Attend site meetings as appropriate.
    • Embedded within the Client site team.
    • Link to THE COMPANY FM Manager and wider account support team. Act as conduit for information, requests and escalations.
  • Record Management
    • Maintain the COMPANY site logbooks including QHSE, contractor performance, contractor service, site information.
    • Full completion and storing of records on THE COMPANYs E Logbook system
    • PM schedule/asset data management/updates
    • CMMS work order management - planned and reactive
  • Reporting
    • Collation of information for Monthly Business Review Meetings, Monthly Cleaning Reviews, Contractor reviews, THE COMPANY internal audits
    • KPI data submission where appropriate
    • Local contact for emergency/urgent requests - appropriate escalation process

  • Contract Support
    • PO requests and assist with receipting
    • Obtaining competitive supplier quotations

  • Self-perform minor FM works/PMs. (Dependent upon skillset and experience of person selected.)
  • Possess appropriate skill and knowledge to basic fault find on THE COMPANY maintained systems
